Who we are. Replyna is operated by Replyna LLC, a limited liability company organized under the laws of the State of New Mexico, United States. Its registered business address is 1209 Mountain Road Pl NE, Ste N, Albuquerque, New Mexico 87110, United States. For your account and website data we act as the data controller. For the messages your customers send to your assistant, we act as a data processor — we handle them on your behalf and under your instructions. Contact: support@replyna.io.
1. Data we collect
- Account data — your name, business name, email address and phone number, and the business information and knowledge base you add.
- Billing data — subscription and payment records. Card details are entered directly with our payment provider; we do not store your full card number.
- Customer conversations — messages exchanged between your customers and your assistant across your connected channels, processed on your behalf so the assistant can reply and escalate.
- Technical data — sign-in activity, log and usage data needed to operate, secure and improve the Service.
2. How we use data
- To provide the Service — connect your channels, generate AI replies from your knowledge base, and escalate to you when needed.
- To handle billing, provide support, and send you important service notices.
- To keep the Service secure, prevent abuse, and improve reliability and quality.
We process data to deliver the contract you sign up for, to meet our legal obligations, with your consent where required, and for our legitimate interest in running a secure, reliable service. We do not sell your data, and we do not use your customers' messages to train public AI models.
3. Service providers we use
We share data only with trusted providers who help us run the Service, and only as needed. Rather than lock ourselves to specific vendors, we describe them by category:
- Cloud hosting & infrastructure — to store data and run the platform securely.
- AI processing providers — to generate the assistant's replies from the information you provide. If our primary AI provider is unavailable, a backup provider may process the message so your customers still get a reply.
- Messaging platform APIs — the channels you connect (such as WhatsApp, Messenger and Instagram) to receive and send messages.
- Email delivery — to send sign-in links and service notifications.
- Payment processing — to take subscription payments securely.
These providers act under agreements that require them to protect data and use it only to provide their service to us.
4. International transfers
Some of our providers operate outside Egypt. Where data is transferred abroad, we take reasonable steps to ensure it remains protected to a standard consistent with this policy and applicable data-protection law.
5. How we protect data
- Channel access tokens are encrypted at rest using strong (AES-256) encryption, and data is transmitted over encrypted (HTTPS) connections.
- Strict per-account isolation keeps each business's data separate from every other's.
- Access to production data is limited, logged, and restricted to what is needed to operate the Service.
6. How long we keep data
We keep your data for as long as your account is active. When you close your account, or ask us to delete your data, we remove it from our live systems (subject to any limited records we must keep for legal, accounting or fraud-prevention reasons). For example, past invoices are retained — without your personal details — because accounting and tax rules require it.
When your customers message you on a connected channel (such as WhatsApp, Messenger or Instagram), we process and store those messages so the assistant can reply and so you can see the conversation. This data is removed when you delete your account, and we also honour automated data-deletion requests the platforms send us (for example a Facebook or Instagram data-deletion request): on receiving a valid request we delete the matching messaging profile's data from our live systems and provide a confirmation you can check.
7. Your rights
Depending on your location and applicable law (including the EU/UK GDPR and Egypt's Personal Data Protection Law), you may have the right to access, correct, export or delete your personal data, and to object to or restrict certain processing.
You can do this yourself, any time. If you have a Replyna account, open your dashboard, go to Security and look under "Your data". From there you can download everything we hold for your business as a file, or permanently delete your account. Deletion is confirmed with a code and cannot be undone.
You can also email support@replyna.io for any of these requests, and we'll help. If you are one of our customers' customers, please contact that business first, as they control those conversations.
8. Cookies
Our dashboard uses a small number of essential cookies to keep you signed in securely. Our marketing website uses only the cookies needed for it to work. We do not use advertising-tracking cookies.
9. Children
Replyna is intended for businesses and is not directed at children under 18. We do not knowingly collect data from children.
10. Changes to this policy
We may update this policy from time to time. We will post the new version here and update the "last updated" date above.
